About the Role
The Production Manager is a key leadership role responsible for bridging Sales and Production, overseeing both the administrative and field logistics sides of the business. This role ensures every job is fully prepared for execution, systems are accurate and current, and the production team, including Production Admins and Field Managers, operates at the highest level of consistency. Success in this role means hitting install targets, keeping workflows synchronized, and delivering a five-star customer experience.
Key Responsibilities
Production Readiness & Workflow Oversight
- Own the handoff from Sales to Production; ensure jobs are complete, accurate, and fully ready for scheduling.
- Review incoming jobs daily; triage missing details (permits, materials, scope) before moving forward.
- Create, assign, and monitor tasks in CRM system to ensure readiness.
- Lead daily and weekly schedule reviews, adjusting based on field readiness and resource availability.
- Maintain and actively manage the install backlog; review daily.
Team Leadership & Development
- Directly manage and support Production Admins and Field Managers, providing guidance, accountability, and development.
- Provide real-time direction and troubleshooting on job issues, logistics, or system challenges.
- Serve as the escalation point for complex jobs, bottlenecks, or vendor issues.
- Step in to cover critical responsibilities when team members are absent to maintain production flow.
System & Data Management
- Ensure CRM and the Roofing Scheduler are accurate, synchronized, and up to date.
- Lead training for new hires and reinforce best practices in CRM and production processes.
- Maintain pricing accuracy and update CRM data regularly to reflect vendor rates and company standards.
- Perform job margin reviews; investigate and document causes of underperformance.
Field & Logistics Oversight
- Order and track bulk and job-specific materials; resolve delivery issues and supplier delays.
- Coordinate dumpster drops and drop-ship deliveries to job sites.
- Ensure crews and staff have updated access to critical production resources (crew rosters, vendor directories, dump site listings).
- Oversee subcontractor onboarding and compliance (insurance, workers’ comp, I-9/W-9, IDs).
- Ensure Field Manager vehicles and resources are properly maintained and supported.
Continuous Improvement & Cross-Team Communication
- Partner with the GM and Sales Manager to refine handoff processes and improve job quality.
- Identify recurring issues; recommend and implement workflow/process improvements.
- Foster strong alignment between Sales, Admin, and Field teams to ensure smooth execution.
Qualifications
- Strong understanding of residential roofing systems, materials, production timelines, and logistics.
- Proven leadership experience managing both administrative and field production teams.
- Hands-on experience with Acculynx or Service Titan CRM (or similar service management platform).
- High attention to detail, with ability to triage and prioritize multiple jobs in a fast-paced environment.
- Strong communication and cross-team coordination skills.
- Demonstrated ability to coach, develop, and hold team members accountable.
- Team-player mentality with a positive mindset and willingness to learn, adapt, and remain constructive even when challenges arise.
